“Every Time” Checklist / KPIs
⚠️ This checklist should be reviewed every. single. time. you do this task!
- [ ] Passes the following fundamental flowchart. Is either…
- [ ] Directly in service to (Zach’s Current #1 Focus), or…
- [ ] Is required to not break a commitment to a student, biz partner, etc., or…
- [ ] Can demonstrably be tied to at least $300/hr of revenue for the time required
- [ ] And even for this, be very careful and ideally shouldn’t be a very big / time consuming commitment
- [ ] Scheduled for as late in the day as possible
- [ ] Squished right against other similar appointments where possible
- [ ] Prefer Wednesdays as appointment days
- [ ] No more than 3.5 hrs of calls in a normal day
- [ ] You can do 5 hrs as the absolute max, but anything beyond 3.5 is quite draining for Zach, and on the “5+ hour days” he usually ends his day saying “I need a drink”
- [ ] Note: this means that for office hours days, there's only room for one more call. And for office hours + Bach chat days, there's no more room
- [ ] Tues and Thurs are usually for deep work and should have minimal/no calls
- [ ] Gaps to “process” things that need to be processed — 30 mins after each 2 or 3 appts
- [ ] When scheduling a podcast interview / expert interview, Zach usually needs 3 hours to prep, so make sure that time is available in the schedule and also blocked out.
- [ ] No more than 13 hrs of appointments in a week, ideally
- [ ] Is this even realistic? It is if careful.
- [ ] Accelerator - 90
- [ ] Mastermind - 90
- [ ] Office Hrs - 180
- [ ] Maia & Brad - 90
- [ ] Expert interview - 120
- [ ] Total baseline = 9.5
- [ ] So that means 2.5 hrs free for misc appts.
